Job Title:          Executive Officer

Location:           Remote, with UK and occasional international travel

Salary:               £24,000 - £28,000 FTE, depending on experience

Terms:                Part time (0.6 FTE), Fixed term contract (to 31/7/2025)

                            This role may require out of hours working, travel and external/internal events


We are seeking to appoint an experienced Executive Officer to join our team and play a crucial role in the support of our charity governance and organisational management.

Key responsibilities will include:

  • Membership management: You will be in charge of membership administration, including taking payments, handling enquiries, checking eligibility, administering group membership schemes, administering bursaries, issuing invoices and ensuring that the membership database and payment systems are scrupulously maintained and up to date. You will be the first point of contact for our members and will direct them to appropriate resources or staff to resolve any enquires quickly and efficiently.
  • CEO and Trustee support: Providing administrative support for CEO, Council and sub-committees, by scheduling meetings, booking rooms/catering/AV, preparing agendas, supporting documents and minutes, implementing actions, booking travel and processing expenses. Supporting the Chief Executive to ensure good charity governance and record keeping.
  • Office support: Monitoring shared inboxes and phones, logging and fielding requests and calls as appropriate.
  • Communications: Supporting the Marketing and Communications Manager to ensure the website content is up to date and coordinating communications via email and post to members
  • Finance: Processing expense claims and invoices, managing and maintaining effective systems for invoice logging and tracking and onboarding new suppliers.
  • Operations: Ensuring the smooth running of the organization by maintaining effective information sharing systems for the Executive Team, Council and Committee and Local Group Reps, including via Dropbox, Sharepoint and Teams.
  • Event support: Assisting the Head of Meetings and Events to deliver in person and online events, including supporting speaker and delegate management and liaising with event sponsors. Assisting with exhibition management and national/international shipping of conference materials, ensuring BNA event and marketing collateral and supplies are well maintained and accessible.

The candidate

In this role, you will be the first point of contact for current and prospective members, a wide range of stakeholders and our council and committee, therefore it’s essential that you have excellent communication skills, strong administrative and organisational skills and the ability to plan and prioritise a varied workload. We are seeking a motivated self-starter with a proactive attitude, that will take the initiative when answering enquiries and is adept at problem-solving and logistics.

Essential Skills and Experience:

  • Strong attention to detail and time management skills
  • Excellent organizational skills
  • Strong IT skills, including Outlook, MS Teams, MS Office and Zoom
  • Excellent interpersonal skills
  • Ability to work effectively within a small team and collaborate to deliver a range of tasks
  • High level of accuracy and attention to detail

Desirable Skills and Experience:

  • Previous experience of working in a membership organization or charity
  • Previous experience of supporting C-Level executives
  • Previous experience of board management

Essential information

This role is fully remote, with occasional travel.

You must have the right to work in the UK when you apply.

The BNA Executive Team is a small team of 8-10 individuals. You will work particularly closely with the Chief Executive however, you will be expected to interact with all members of the team across activities.
