We understand that your privacy is important to you and that you care about how your personal data is used. We respect and value the privacy of everyone who visits this website, www.bna.org (our “Site”) or becomes a member of our organisation and have taken steps to protect the data we collect from you, as described below. Any personal data we do collect will only be used as permitted by law.

ABOUT US

Our Site is owned and operated by British Neuroscience Association Ltd, a company registered in England and Wales under company number 04307833, charity number 1103852 and whose registered address is The Dorothy Hodgkin Building, Whitson Street, Bristol BS1 3NY (“BNA”).

Any reference to ‘We’, ‘Us’ and ‘Our’ is to the BNA or its subsidiary, BNA Events Ltd.  Any reference to ‘You’ and ‘Your’ is to you as an individual user of our websites and applications.

The BNA is the data controller. This means that the BNA is responsible for how your personal data is processed and for what purposes. You can contact us here.

WHAT IS PERSONAL DATA?

Personal data is defined by the Data Protection Act 2018  and the General Data Protection Regulation (EU Regulation 2016/679) (the “Data Protection Laws”)  as “any information relating to an identified or identifiable living individual”.

Personal data is, therefore, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data and other online identifiers.

WHAT ARE YOUR LEGAL RIGHTS?

Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: -

  • The right to request a copy of your personal data which we hold about you (‘subject access request’)
  • The ability to change any details we hold about you if it is found to be inaccurate or out of date (‘the right to rectification’). You can do this yourself by logging in and editing your membership information; or by contacting the BNA.
  • The right to request your personal data is erased where it is no longer necessary for BNA to retain such data (‘the right to be forgotten’).
  • If the processing in question is based on consent, you have the right to withdraw your consent to the processing at any time.
  • The right to request that the BNA provides you with your personal data and where possible, to transmit that data directly to another data controller (‘the right to data portability’). 
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request that a restriction is placed on further processing.
  • Where processing is based on legitimate interests, you have the right to object to the processing of personal data.
  • If you think there is a problem with the way we are handling your data, you have the right to lodge a complaint with the BNA's lead authority, which is Information Commissioner’s Office in the UK. WHAT DATA DO WE COLLECT?

When you sign up as a Member, register for our site, or register for an event, BNA will obtain your full name, title, email address, contact number, billing address, organisation, your interests, preferences, feedback and survey responses and marketing communication preferences for customer service purposes. In particular:

a) At checkout, we will collect your full name, title, organisation, email address, username, and password. This information is used to set up your account for our Site.

b) At checkout, we may also collect your billing address and phone number. This information is used to confirm your payment card details. The billing address and phone number are saved by our Site to prepopulate the checkout form for future purchases and so we can get in touch with you if needed to discuss your order.

c) At checkout, we may also collect your bank account details, credit card number, expiration date, and security code. This information is passed to our payment gateway to process your purchase. The last 4 digits of your credit card number and the expiration date are saved by our Site to use for reference and to send you an email if your credit card will expire before the next recurring payment.

When submitting a general enquiry via our Site, we will collect your name, email and contact number to enable us to respond to your enquiry.

If you send us an email, we may collect your name, your email address and any other information you choose to give us.

All users can see, edit, or delete their personal information at any time (except they cannot change their username themselves and will need to request change via the site administrator of the Site). Website administrators can also see and edit that information.

The BNA may use cookies and other information gathering technologies for the purposes of collecting information and statistics about the users of this site, but such information will not be used to identify any individual. This helps us analyse data about webpage usage and improve our website in order to tailor it to user needs. HOW DO WE USE YOUR PERSONAL DATA?

We collect certain personal information from you in order to provide you with membership services and benefits, to answer your enquiries, to keep you updated on our activities and those of other organisations which we believe will be of interest to you, and to improve your experience of using our websites, attending our meetings, and interacting with the BNA. 

The BNA uses your personal data for the following purposes: -

  • To administer membership records;
  • To meet our commitment to members to provide member benefits;
  • To carry out the administration required to facilitate your attendance at a meeting, for instance sending you information about the event or confirming payment of the registration fee;
  • To maintain our own accounts and records;
  • To inform you of news, events, and activities run by the BNA, and of activities run by other organisations which we believe to be of interest to you;
  • To manage our employees and volunteers;
  • To fundraise and promote the interests of the charity;
  • To enable us to provide a voluntary service for the benefit of the public.

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.

If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

WHAT IS THE LEGAL BASIS FOR PROCESSING YOUR PERSONAL DATA?

Under the GDPR, personal data can only be processed if there is an identified a ‘lawful basis’ for doing so. There are a number of legal bases for the BNA to process your data, depending on the activity in question:

  1. Your explicit consent (Article 6(1)(a))

This is so that we can keep you informed about news, events, activities, opportunities and services of the BNA via e-mail, post, telephone, social media or text; or to inform you about news, events, activities, opportunities and services of other organisations which we believe will be of interest to you. Your consent also enables us to process applications for prizes, bursaries, and funding applications.

  1. In order to meet the requirements of a contract, or carry out steps prior to entering a contract (Article 6(1)(b))

This is relevant for volunteers or employees working for the BNA, where the processing of personal data is necessary for carrying out obligations under employment, social security or social protection law.  It also applies to customers and suppliers of the BNA.

  1. In order for the BNA to comply with a legal obligation (Article 6(1)(c))

Should you be elected or appointed to a position on the BNA Council, your contact details will be processed to meet requirements of the Charity Commission and of Companies House.

  1. For our legitimate interests (Article 6(1)(f))  

This means that we can process your personal data if (i) we have a genuine and legitimate reason; and (ii) are not harming any of your rights and interests.

Our legitimate interests include:

  • processing for the purposes of membership administration
  • processing for the purposes of meeting our commitment to members to provide member benefits
  • processing for the purposes of administering meetings and events
  • fundraising and processing gift aid donations

SHARING YOUR PERSONAL DATA

Your personal data will be treated as strictly confidential and will be shared only as set out in this section.

We share your data with third parties for the following reasons:

  • the Federation of European Neuroscience Societies (FENS) so that you can access the benefits of FENS membership. See here for details of FENS’s privacy policy.
  • the Joint Neurosciences Council, so that you can access the resources of ebrain as part of your BNA membership benefit. See here for details of the JNC’s privacy policy.
  • ReadyMembership so that we can manage and administer your membership, your attendance at BNA meetings, and to answer your enquiries. See here for details of ReadyMembership’s privacy policy.
  • Brevo, so that we can contact you by email and give you the ability to opt-out of mailing lists. See here for details of Brevo’s privacy policy.
  • for meetings where the BNA appoints a third party to administer the meeting, your details will be shared with Professional Conference Organisers.
  • Should you be elected or appointed to a Trustee position, we will share your contact details with the Charity Commission and Companies House.
  • Should you opt-in to a Local Group on joining the BNA, your details will be shared with the relevant Local Group Representative/s.
  • If you serve on any committee or take on any duty, rota or role within the BNA, your personal data may be shared with other members of the BNA. You will be informed if your personal data will be shared more widely.
  • We may also share your information or disclose it to third parties where required to comply with any court order or other legal obligation or when data is requested by government or law enforcement authorities, to enforce any agreements, or to protect the rights, property, or safety of us, members of the BNA or others.
  • In the event that BNA is sold or integrated with another business your details may be disclosed to our advisers and any prospective purchasers and their advisers, and will be passed on to the new owners of the business.

HOW LONG DO WE KEEP YOUR PERSONAL DATA?

We keep data in accordance with our data retention policy. This sets out the period of time we keep your data, which depends on the specific purpose it is being kept. In summary:

Membership management: We will keep your membership data as long as required to support an active membership and will keep that data up to a maximum of 5 years from the cancellation date of your membership, in case you wish to reactivate your membership in the future.

The duration of the storage of personal data collected through the Stripe payment gateway will be in accordance with Stripe’s terms of use and with all relevant tax and other laws in the United Kingdom.

The duration of the storage of personal data collected through the GoCardless payment gateway will be in accordance with GoCardless terms of use and with all relevant tax and other laws in the United Kingdom.

Delegate management:  Two years after the event has taken place.

Committee member data: Names of Committee members are recorded permanently. Other personal information is kept for six years after the individual has left their post.

Applicants for prizes, bursaries, funding, positions or other opportunities where a selection process is involved: personal data of candidates is kept for eight years after the selection has taken place.

Mailing list management: You can choose to opt-out of BNA mailing lists at any time, at which point your data will be deleted.

Customer and supplier data: If you are a customer or supplier of the BNA, details will be kept in our accounts for six years. 

ACCESSING YOUR PERSONAL DATA

If you want to know what personal data we have about you, you can ask us for a copy of it (where any such personal data is held). This is known as a “subject access request”.

All subject access requests should be made in writing and sent to the email or postal addresses listed in the Contact Details section.

We do not normally charge for a subject access request. However, if your request is “manifestly unfounded or excessive” (for example, if you make repetitive requests or a large amount of data in one request) we may charge a fee to cover our administrative costs in responding.

We will normally respond to your subject access request within one month of receiving it. However, in some cases (for example, if your request is more complex) we may require more time up to a maximum of three months from the date we receive your request.

These Website Terms of Use, together with any and all other documents referred to herein, set out the terms under which you may use this website, www.bna.org.uk (our “Site”). Please read these Terms of Use carefully and ensure you understand them. Your agreement to comply with and be bound by these Terms of Use is deemed to occur upon your first use of our Site. If you do not agree to comply with and be bound by these Terms of Use, you must stop using our Site immediately.

The content of this website is the sole property of The British Neuroscience Association (BNA), and all intellectual property rights existing in this site (including but not exclusively any copyright and design right) belong exclusively to the BNA, unless otherwise specified.

All Content is protected by applicable United Kingdom and international intellectual property laws and treaties.

You may not reproduce, copy, distribute, sell, rent, sub-licence, store or in any other manner re-use Content from our Site without our prior written consent.

Our status as the owner and author of the Content on our Site (or that of identified licensors, as appropriate) must always be acknowledged.

You may not use any Content saved or downloaded from our Site for commercial purposes without first obtaining a licence from Us (or our licensors, as appropriate) to do so.

  1. Membership

All of our individual membership packages are paid on an annual basis for a 12 month period.

The membership fee may be increased or reduced at any time and at our sole discretion. We will contact you should there be any changes to the membership fee.

We reserve the right to reject membership for any reason whatsoever.

Members can cancel their membership at any point. Refunds are only available within seven days of joining or renewing your membership to the BNA. After this point, fees are non-refundable. Refunds are subject to a £10 administration charge. Please contact the BNA office to arrange a refund ([email protected]).

BNA members are welcome to state their membership in public profiles but must also:

  • state what type (Professional, Early Career, Postgraduate, Undergraduate, Career Starter, Associate, Retired or Honorary)
  • never refer to the BNA in a way that implies the BNA’s endorsement of a commercial or non-profit-making activity, without first gaining written permission of the BNA. If a member is found to be doing so, their membership could be terminated.

British Neuroscience Association members are expected to follow the principles of the BNA Equity, Diversity and Inclusion policy.

  1. Events

All members, speakers, delegates, staff, exhibitors and all others interacting with the BNA community are expected to follow the BNA's Safer Spaces policy.

We will use the information you have provided to keep you informed about events and to advise you of the same or similar events in future years. Where required, we will also share details with third parties who are assisting with the event. By registering for an event, you agree to this use of your information.

Please be aware that we may record parts of events for use in presentations and communications explaining our work.

Paid-for events will only be refunded if cancelled within seven days of purchase, unless otherwise stated. Please note all refunds are subject to a £10 administration charge.

Nothing on our Site constitutes advice on which you should rely. It is provided for general information purposes only.

In the event of any conflict between the current version of these Terms of Use and any previous version(s), the provisions current and in effect shall prevail unless it is expressly stated otherwise.

These Terms of Use shall be construed in accordance with and governed by English law.

Equity, Diversity & Inclusion and Safer Spaces

EQUITY, DIVERSITY AND INCLUSION POLICY

The BNA is committed to providing and promoting equal opportunities throughout its work, including via the use of procedures and practices which are inclusive and anti-discriminatory. 

The BNA actively seeks to eliminate discrimination or bias related to the protected characteristics of age, disability, gender reassignment, marriage or civil partnership, pregnancy and maternity, race, religion or belief, sex, sexual orientation or any combination of these. Discrimination on any of these grounds is unlawful under the Equality Act 2010. The BNA further seeks to eliminate any less favourable treatment relating personal situation, for instance: level of education or socioeconomic background. 

Specifically, the BNA strives to avoid biases of any kind across its membership procedures, funding and award allocation processes, print and online publications, conferences and events, and when engaging in the employment, election or appointment of staff, Council and Committee members and any other paid or voluntary roles. 

As part of this, the BNA formally endorses the ALBA Declaration on Equity and Inclusion, and works to fulfil its goals.

For the BNA to endorse, fund or participate in an event, meeting or activity (whether internal or external), the expectation is therefore that it will follow the principles of this Equity, Diversity and Inclusion Policy and meet the following conditions: 

  • At least a third but ideally half of the total number of speakers should be women (on the basis that around half of the UK population are women); 
  • Individual sessions in multi-session meetings, and any committees, selection panels, author lists, or similar activities, should not be populated exclusively by men; 
  • There should be clear and demonstrable efforts to include minority ethnic groups in every activity. For UK-based activities, there should be an ambition of having representation aligned with UK population levels; and 
  • It is the expectation of the BNA that any activities, run by the BNA itself or as a partner or a supporter, will consider diverse representation and inclusion across as many as possible of the protected characteristics listed in paragraph 2 above.

BNA SAFER SPACES POLICY

This policy applies to all participants in BNA activities and events, including events hosted by other organisations exclusively for BNA members. It covers participation during the activity as well as any related correspondence before or after.

This Safer Spaces Policy is based on that developed by EDIS, a coalition of organisations working to improve equality, diversity and inclusion within the science and health research sector. The BNA is grateful for their advice and support.

1. Background and Ethos

The British Neuroscience Association (BNA) is committed to fostering spaces that are respectful, inclusive, and free from harassment for all participants—including Chairs, delegates, speakers, exhibitors, staff, and members of the press (collectively referred to as “event participants” or “participants”).

We welcome participants regardless of:

  • Age, disability, gender reassignment, marriage or civil partnership, pregnancy and maternity, race, religion or belief, sex, or sexual orientation.
  • Any other aspect of diversity, including those not listed as protected characteristics in the Equality Act 2010.

Our aim is to ensure everyone can participate in and enjoy BNA events and activities without feeling harassed, excluded, or uncomfortable—whether in person or through digital communication (e.g. email, social media, chat).

BNA events will be guided by the principles of our equity, diversity, and inclusion (EDI) work. When engaging with individuals or organisations who contravene these values, our first approach will focus on understanding and supporting learning. However, the BNA reserves the right to withdraw support or engagement from those who continue to contribute to an unsafe environment, either online or in person.

2. Expectations of Behaviour

All event participants are expected to act with integrity and respect. The BNA will not tolerate any form of harassment or intimidation, including:

Harassment (verbal, physical, or written):

  • Offensive or unwanted conduct related to personal characteristics (e.g., race, gender, disability, socioeconomic background).
  • Use of sexualised or otherwise inappropriate images or content.
  • Inappropriate physical contact or unwelcome sexual attention.
  • Stalking.
  • Sustained interruption of speakers or audience members.
  • Unwanted photography or filming.

Intimidation:

  • Threats or bullying.
  • Personal attacks

These rules apply across all settings, including in-person events, online chats, social media, and emails.

3. Reporting a Breach

If you experience or witness a breach of this policy, you can report it via this form.

  • Reports will be received and reviewed by the BNA.
  • If your report involves a BNA staff member, please contact the BNA President directly.

4. BNA Response to Breaches

The BNA reserves the right to take appropriate action, including:

  • Requesting individuals stop inappropriate behaviour.
  • Removing participants from events or communication platforms.
  • Notifying an individual’s host institution regarding harassment reports.

In all cases, event leads and BNA staff may intervene. Participants are expected to comply with any requests immediately.

We are also committed to supporting those affected. This may include:

  • Facilitating a conversation or mediation (with an option to nominate an observer or support person).
  • Removing individuals from communication threads to help protect wellbeing.
